Guest Relations Assistant


Classification: Seasonal

Full-time: October – mid-November (through festival conclusion and wrap-up)

Salary Range: $1,500 – $3,000

Location: Sie FilmCenter – 2510 E. Colfax Ave., Denver, CO 80206, and occasional remote work

Reporting Structure: Reports to the Denver Film Festival Guest Relations Manager 

Currently, Denver Film requires all staff be vaccinated for COVID-19 and is also requiring everyone in its building(s) to wear masks. “Vaccinated” means fully vaccinated against COVID-19, as defined by the CDC (i.e., more than 14 calendar days following receipt of a final dose of an FDA or World Health Organization authorized or approved vaccine). Overview: 

Denver Film is seeking a full-time, seasonal Guest Relations Assistant. This individual will be responsible for supporting the Guest Relations Department for the Denver Film Festival (DFF), the largest premier film event in the Rocky Mountain Region that happens across multiple venues over 12 days filled with films, red carpet events, panels, curated virtual reality and immersive experiences, and special events. With more than 130 invited guests, jurors, and panelists, the Guest Relations Assistant reports to the Guest Relations Manager and works closely with other departments across the festival, playing a critical role in the experience of filmmakers and other guests.

The first Denver International Film Festival was successfully launched in May 1978. Three years later, the 501(c)(3) nonprofit Denver Film Society was created to expand opportunities to bring films to Denver that otherwise might not be shown, and to celebrate and cultivate film as an art form. Over the years the organization has grown into one the largest and most respected cultural institutions in the Rocky Mountain region. What You’ll Do:

The Guest Relations Assistant will provide support for guest relations systems and needs leading up to, and throughout, the Denver Film Festival. The Guest Relations Department’s responsibilities are significant in supporting the needs of all invited guests and ensuring the best possible experience with the festival. Responsibilities include:

Guest Relations

Communicate with visiting filmmakers and other guests to understand their needs and coordinate travel arrangements

Book hotel rooms within room blocks across multiple properties

Send itineraries, coordinate guest tickets, and deliver all materials needed to assist guests

Staff the Guest Relations check-in during the festival

Act as the DFF liaison for filmmakers and guests of the festival by assisting in operating the Guest Relations hotline via email, phone, and in person, and responding to email inquiries in a timely manner

Support all participating guests during the festival

Write and submit a wrap report following the conclusion of the festival

Coordination

Work cooperatively with all DFF departments including, but not limited to, Transportation, Programming, Publicity, and Operations to ensure the lines of communication are open, needs are clear, and plans are set

Budget Maintenance

Track all expenses with accuracy

General

Work to support the festival overall and the needs of all departments

Ensure that Denver Film’s high festival standards and the expectations of guests are met before, during, and after the festival


Who You Are:

The ideal candidate will be an effective communicator who is highly organized and enjoys meeting and assisting guests and has previous experience with coordinating domestic and international travel. This detail-oriented professional should have strong computer skills and be proficient in Microsoft Office. This individual must have the ability to work as part of a team and provide clear direction to volunteers. The Guest Relations Assistant must possess the ability to meet deadlines and maintain poise in stressful situations.
